Creating a job

This guide explains how to create a job inside WorkNinja.

Jobs can be created for existing clients, or you can create a new client during the job creation process.

Before You Start

To create a job, go to the Create section in WorkNinja.

At the top of this section, you will see tabs for creating:

  • Clients

  • Quotes

  • Jobs

  • Invoices

For this guide, select Job.


1. Select or Create a Client

Once you click Job, you will need to choose the client the job is for.

You can either:

  • Search for an existing client you have already created

  • Type in the name of a new client and click Create Client

If you choose to create a new client, WorkNinja will take you to the client creation page so you can finish setting up their details.


2. Choose the Client Address

After selecting a client, choose the address the job should be linked to.

If the client has more than one address, these will appear in a list on the right-hand side.

Select the correct address before continuing.


3. Add the Job Details

Next, add the main details for the job.

You can enter:

  • Job title

  • Job type

  • Job description

  • Salesperson

  • Line items

  • Discounts

  • Client message

  • Internal notes

  • Disclaimer

The job type can be set as either:

  • Single job

  • Recurring job

A single job should be used for one-off work.

A recurring job should be used for contracts or jobs that repeat on a regular basis.


4. Add Line Items

Below the job details, you can add line items for the job.

You can add new line items and update the details as needed, including:

  • Unit cost

  • Quantity

  • Unit price

  • Total

  • Tax rate

You can also add any discounts that apply to the job.


5. Add Messages, Notes and Disclaimers

Further down the page, you can add extra information to the job.

You can use the client message section to add information that the customer will see.

You can use the internal notes section to add notes for your team. These notes are hidden from the customer and are only visible to WorkNinja users.

You can also add a disclaimer by typing into the text box or uploading a file.


6. Choose Between a Single Job and a Recurring Job

When creating a job, you can choose whether it is a single job or a recurring job.

Single Jobs

A single job is used for one-off work that will be completed.

One important thing to note is that a single job can still have multiple visits assigned to it.

For example, one job could have three, four, or five visits attached before the job is marked as complete.

This is useful when a job needs more than one visit but is not part of an ongoing contract.

Recurring Jobs

A recurring job is used when work repeats on a regular basis.

For example, a recurring job could repeat:

  • Daily

  • Weekly

  • Monthly

  • Yearly

You can also choose the length of the recurrence, such as running the job over a 12-month period.

Once you have selected the recurrence settings, WorkNinja will show how many visits have been assigned to the job.


7. Assign Team Members

You can assign team members to the job before saving or scheduling it.

WorkNinja allows you to assign multiple team members to the same job.

This is useful when more than one engineer, technician, or team member needs to attend the work.


8. Save or Schedule the Job

Once you have filled in the job details, you can either:

  • Schedule the job now

  • Save the job and schedule it later

If you choose to save the job, WorkNinja will take you to the job page.

From there, you can go to the schedule and find the job ready to be scheduled.


9. Schedule the Job

From the schedule page, you can drag and drop the job into the calendar.

You can also adjust the scheduled time by changing the timeframe directly in the calendar.

If needed, you can click back into the job to edit the details at a later date.


10. Add Visits to a Single Job

For single jobs, you can scroll down to the Visits section.

From here, you can add as many visits as required for that job.

This allows you to manage multiple appointments under one job record.


11. Use Schedule Now

You can also click Schedule Now from the job page.

This will take you directly to the schedule page with that job filtered, making it quick and easy to find and schedule.

Creating a job in WorkNinja allows you to manage both one-off work and recurring contracts.

You can select or create a client, choose the correct address, add job details, include line items, assign team members, add notes, and either schedule the job immediately or save it for later.

Single jobs can include multiple visits, while recurring jobs can automatically create repeat visits based on the schedule you choose.
